How it works › The system

The system behind Gangal Go

One connected system runs each booking, from the price you see to the invoice you pay. Software does the checking, counting and chasing. People make the decisions.

In short

Gangal Go prices a booking instantly, checks how many right-to-work-checked workers are near your site, and ranks workers for each request by distance and fit. A worker is only offered a shift if their right-to-work evidence is on file, and it is checked again when they accept. Workers clock in and out on their phone, the hours fill a weekly timesheet you approve in your client portal, and only approved hours are invoiced.

One booking, end to end

  1. Request

You send the dates, hours, staff numbers and site postcode.

  2. Match

The system ranks nearby workers; a person chooses who to offer.

  3. Confirm

Workers accept; you are confirmed within 24 hours on working days.

  4. Shift

Workers clock in and out on their phone, with location recorded.

  5. Timesheet

Clocked hours fill a Monday-to-Sunday timesheet you approve.

  6. Invoice

Only approved hours are invoiced, weekly.

Each step hands its data to the next, so nothing is typed in twice: the request becomes the offer, the shift becomes the timesheet, and the approved timesheet becomes the invoice.

Before you book

Instant price calculator

Choose the service, staff, hours, weeks and start date and the price appears straight away, with the VAT shown separately. The rate depends on notice and commitment, from short notice to contract, and night shifts (22:00 to 06:00) show the £2.50 per hour premium in the price. No email address needed.

Live supply check by postcode

Enter your site postcode and the system counts the right-to-work-checked workers for that type of work within 10 miles of it. It shows a count only, never names, and if the check fails it shows nothing rather than a guess.

An honest answer on coverage

We supply London, Yorkshire, the West Midlands and the North West. Outside those areas you can still send a request, and we tell you whether we can cover it.

Booking and confirmation

Sending a request costs nothing and takes no payment details. You get your own request page showing its status, the price including VAT and, once confirmed, the first names of the staff coming.

The 24-hour promise is watched by a clock that counts working hours only (Monday to Saturday, not bank holidays in England and Wales):

  1. 4 working hours

    Reminder to our team

If nobody has picked up the request, the owner is reminded.

  2. 20 working hours

    Urgent alert

If it is still untouched, the owner gets a "needs you now" alert.

  3. 24 working hours

    An update for you

If the request is not yet confirmed, you get an honest update by email rather than silence.

If we cannot cover a request, we tell you by email and nothing is charged.

We email you as soon as we have your request, and again when your staff are confirmed. When the booking is set up, we email you a booking confirmation with a copy of the Hirer Terms attached.

Matching and checks

Matching by distance and fit

For each request the system ranks workers on how well their profile fits the job, how far they live from your site, their availability, their reliability record and their experience in your sector. Workers beyond 25 miles are left out. It puts forward the top three, and a person decides who is offered the shift.

Right to work is a gate, not a score

A worker with no right-to-work evidence on file is never suggested, however good the fit. The check runs again when the worker accepts the offer, so right to work is checked before every shift.

Documents you can see

Each worker placed with you has a compliance checklist in your client portal, and a colour-coded overview shows the document status of everyone on your sites.

12-week AWR tracking

Under the Agency Workers Regulations, a worker gains equal treatment after 12 weeks in the same role with the same hirer. The system counts each worker's weeks with each client from the shifts they actually worked, so the qualifying date is known in advance.

On the day

Phone clock-in with location

Workers clock in and out from a link on their phone. The system records where they were and how precise the phone's location was, measured against a 200-metre area around your site.

Honest verdicts, nothing refused

Each clock-in is labelled: on site, off site, location too imprecise to tell, no location from the phone, or no site location on file. A clock-in is never refused, because unrecorded work is unbilled work, but anything uncertain is flagged.

Shift exceptions

Every shift the clock could not be sure about, such as a missing clock-out or an off-site reading, lands on one exceptions list that our office reviews.

Today board

In your client portal you see who is expected, who is on site and who has finished, and you can check a worker in or out with GPS yourself.

Timesheets and invoices

Clocked hours, less breaks, fill a Monday-to-Sunday timesheet for each worker. If a clock-out is missing, the scheduled hours are used and the line is flagged so you can check it.

You approve timesheets one at a time or all at once, or flag one with a note. A flagged timesheet is not invoiced until it is sorted out.

If you have not approved or flagged a timesheet within 48 hours, the hours are treated as accepted under clause 4.3 of the Hirer Terms. Invoices are issued weekly, by Wednesday for the previous week.

Each invoice shows the hours, rate, VAT and our bank details. Payment is by bank transfer, due by the date printed on the invoice. Invoices and payment in full.

Your client portal

Once staff are placed with you, everything about the booking is in one place:

  • Bookings and your team
  • Today board
  • Timesheets: approve or flag
  • Invoices
  • Quotes: accept, decline or counter
  • Request staff
  • Urgent requests
  • Contracts and documents
  • Messages
  • Worker map
  • Compliance overview
  • Notifications

Workers appear as first name and initial with a photo, and with their full name once placed with you. Their phone numbers and home addresses are never shown; map pins show a general area of about 1 km. Tour every part of the portal.

New clients can set up their own portal online at gangalgo.com/start: confirm the site on a map, verify a work email, and the portal is ready.

The assistant

The Ask button on every page opens an AI assistant that works at any hour. It understands your question, then answers only with text we have written and checked, about prices, areas, start dates, who employs the staff and how booking works. It never makes up an answer: if a question is not one it knows, it points you to a person.

The assistant answers questions. A person handles every staff request.
